Seven Tips for Choosing an Outsource Provider

Outsource providers are used because in the current worldwide economic climate, profit margins are getting slimmer and best use of resources, whether time, facilities, or people is now a business necessity.

However, there are pros and cons to outsourcing. One of the greatest problems is making sure to choose the right outsource vendor for your needs. Before hiring, you should assess the vendor to accurately predict whether they will work in harmony with your business and have the same type of work ethic and dedication to success.

Use these 7 tips to help you choose the best outsource provider for your needs.

1) Do not wait until you are in urgent need before seeking an outsource provider. You want the best for your budget, so should spend some time checking that their staff can provide the type of work you want at the quality you need.

2) Sound simple, but make sure you know the type of services you will or may want performed. Different outsource providers specialize in different areas of work and while they may be excellent at their specialty, it may not match your needs.

3) Make sure that any potential outsource provider’s usual work scheduling matches your requirements. They may have extremely good copywriters that produce excellent work, but are so busy with other clients it may be weeks or months before they can start your project.

4) Check out samples of work. Not only does this give you validation of their experience, and the areas in which they write, but writers use different styles. Sometimes their style of writing may not right for you.

5) Check other client’s feedback. Testimonials from genuine clients give a good indication of how much effort an outsource vender puts into and values providing good client service.

6) Check communications. Although not as prevalent now that outsourcing is such a huge industry, there are still a number of times when a language barrier causes poor communications between an overseas outsource vendor and their clients.

7) Check and double check their pricing policy. Some outsource providers ‘pad the bill’ by adding in small incidental charges for ancillary tasks, such as research, that are an integral part a project.

How much will my copy cost?

This is like asking, ‘how long is a piece of string’ – without specific details it is impossible to determine. What we can say is that as an offshore outsource vendor, our overheads are extremely low compared to an company operating in the US, UK or Australia, and we pass on our savings to clients through our low-cost rates.

As a very general guide, the following are the prices at which some of our commonly requested services start at. Of course, rates vary depending upon the project specifics, such as research time required, task complexity, etc.

Rates:

  • Two- or Three-fold brochure: from US$ 100*

  • Web content (informative text): from US$ 75

  • Keyword rich article (300-400 words): from US$ 75

  • Advertorial (500-1000 words): from US$ 125

  • Web banner: from US$ 10* samples

  • Print ad (small): from US$ 15* samples

  • Web buttons (general): from US$ 5 samples

*Includes layout and basic artwork

On request for a service quote, when we have specific project details, we list the inclusive cost of the project on the project Scope of Work (SOW). Once agreement is made, our price is fixed and inclusive. We do not add any unexpected ‘extras’ to project completion as per the SOW.

How long will it take you to write my copy?

This is an 'open ended' question that's very hard to answer accurately as every project is different. Factors effecting project timescale include; material and notes provided against research time, the length of the copy, the work to be performed (e.g. copy only, copy plus artwork, etc) – and of course, other projects we may have already scheduled.

All this said, the following is a rough guide of estimated project time to completion for commonly requested tasks.

From agreement on the Scope of Work:

  • Two- or Three-fold brochure: 4 – 6 business days

  • Web content (informative text): 2 business days

  • Keyword rich article (300-600 words): 3-5 business days

  • Advertorial (500-1000 words): 5-8 business days

  • Web Banner: 1 business day

  • Print Ad: 1-2 business days

These are estimates only. Once we have specific project details, a schedule deadline can be accurately determined, and we include this, and the inclusive cost of the project, on the project SOW.

I have a small business and just need some copy for my web site. Do you perform small projects like this?

100% Yes, it doesn’t matter what the project size, a 300-word article, a single web button, or a 100-page manual. Many of our clients want simple quick jobs performed professionally - and are pleasantly surprised that we treat every client and every job as important, and we perform the work at an affordable price.

Do you produce brochures, flyers and other such publications?

Yes we do. As a full service publishing and media company, we not only write copy, but develop artwork and graphics, and also perform image manipulation as required.

We provide a number of options. We can produce and perform print layout providing the material in a ‘print ready’ format, so you can use your local printer, or we can take it a step further, have the printing done and supply you with the finished product. For more information about our print layout and publishing services, please visit the related page on our alternate site for more information and samples of such work performed.

We're putting together a marketing package in-house but our budget doesn’t stretch to having you write the copy. If we produce the copy, could you review, proof, and edit it for us?

Absolutely, we understand that in today’s economic climate budgets are tight, especially for a small business. This means that a lot of business literature; reports, sales letter, brochures, etc, are written in house to save money; but, to prevent typos and mistakes slipping through, external editing and proofing is desirable. For exactly this type of situation we offer a low-cost proofing and editing service. For more details please see our alternate site page on editing and print services, or contact us directly.

Do you do other creative stuff - like taglines, slogans, company ads and other stuff to increase company or product recognition?

Yes, not only can we help you to develop written slogans and suchlike, through our creative graphic designs we can also produce artwork, graphics and logos to go with the message, and ads to aid branding and sales. To see a sample selection of print ads and web ad banners we have produced for clients, please visit our graphic design site.

What if I don't like your work?

One of the reasons we make so many samples of our work available on this and our sister site, is so that prospective clients can review the quality and different types and styles of writing and layouts we produce. We do this as by reviewing our samples, a prospective client can then make an informed assessment as to how well our material and writing styles match their need.

Not all writers use a style a client wants; so, while we hope our samples show the different writing styles we use, if you don't like any of our samples, please, use a different copywriting service. We strive to match every client’s needs and wants, but you may want a different writing style. As professionals, it makes business sense to only provide what we are best at, because a client happy with the material is usually a repeat client.

What if I don’t like what you send me and want changes?

One of the reasons we check your requirements, (from which we make a Scope of Work (SOW) that we both sign off before starting a project), is so we can provide a first draft that includes all the detail you require, presented in the way you want. However, when we provide the first draft, it is exactly that, a first draft, not the finished product.

On the rare occasions there is a mismatch, simply state what you would like to see differently, and we will make a revision. We want you to be pleased with the material – because we want your custom again in the future - so our project rates all include revisions within the SOW of the original project.

What if I want to make changes to what you provide on first draft?

Our project rates all include revisions within the agreed project Scope of Work, so we are happy to make changes if you feel they are required. However, if the change is not part of the originally agreed SOW, for example, you originally requested an article written around a set of 3 keywords, then want to change one or more of the keywords, that may incur an additional charge.

Can you build a website for my company?

To borrow a phrase from the Six Million Dollar Man, “We have the technology,” but building websites is not our core business. Our best skills are in providing keyword rich web content, whether as informative text or articles.

This said, we always work to meet clients requests professionally. So, if a client specifically requests we provide this service, we use our skills to develop all web content, (copy, graphics, web buttons, etc), but usually sub contract the technical aspects of the web build, with all of the ‘behind the scenes’ SEO coding requirements, to one of the web builders we trust. We then perform quality assurance on the finished site before handing over to the client. Please contact us for further details if you require this service.

What size business do you write copy for?

We specialize in writing copy and providing additional associated publishing and media services for individuals, small businesses, medium sized businesses, clubs and organizations of various types worldwide.

Do you have samples I can see? How about references?

We have lots of samples for you to view, look on the left on our home page and follow the links. If you're seriously interested in hiring me and if you ask for them.

Why should I hire you instead of an in-house staff copywriter?

There are many reasons to outsource your copywriting. For example…

  • You don't pay any costs in recruiting us

  • You don’t pay us a monthly salary.

  • You don't pay for our employee insurance, tax or medical.

  • You don't pay for our office, computer, software or office supplies.

  • You have no obligations to Able Ads except the fee for work performed as and when you need it.

I want to hire your services, what do I do now?
